Mike announced that the call would be very brief as he and some other members of the Planning Committee were currently standing outside of Craven CC unloading boxes.

He reported that the walk-through that morning at the Convention Center went well and everything is looking good for the conference—the information on the conference Web site seems to reflect accurately the current details of the conference.  He would like all Executive Board members to keep pushing for attendance—we have a great program with lots of good presenters and speakers.

Don reported that a record four participants will be attending from Guilford.

Myra emphasized the need to know a firm head count as soon as possible so that we may plan for our meals accurately—March 8th is the last day on which changes to the menus may be made, so reservations should be sent now even if payment can’t be made until later.

Myra reiterated the belief that this year’s conference will be “lots of fun” and the vendors will be made to feel special, which is important to our continuing efforts at soliciting vendor support.

Ruth pronounced the program “very informational” and praised the Convention Center staff for how organized and well-planned everything seems to be, a good indication that the actual conference will run well.

Deborah re-emphasized the importance of checking meal choices when submitting registration forms—she has 58 registered to attend as of yesterday with eight or nine more pending, so registration seems to be picking up as the conference date gets closer.

Rene Burrows of Guilford is working with Penny Sermons on registration table staffing and nametag making—Don reported that they seem to have “everything under control” in that area.

Mike asked Catherine to report on the results of the NCCCLRA officer balloting—it seems that the unopposed candidates submitted for consideration were successful in their bid for election/re-election.  Mike offered his congratulations and thanks to the candidates.

In connection with the balloting, Deborah mentioned that she never received a ballot.  These were sent to the directors list for distribution, and Mike noted that the possibility of creating a members list to use for communications of this type rather than a directors list is something that will be discussed at the business meeting on Thursday at the conference.  As this type of issue is important for all the membership to discuss, it is therefore important for as many people as possible to stay on for this meeting.

Cathy will be soliciting local New Bern establishments for “free coupons” and the like next week.

With a final recommendation from Mike that Morgan’s is a good bet for lunch while at the conference, the meeting was adjourned at 2:11 p.m.
