NCCCLRA Annual Conference Business Meeting

Proposal to the
Membership
After a brief “farewell address,” Michael Crumpton, outgoing NCCCLRA Executive Board President, proposed the creation of a number of committees (or “project teams”) for the purpose of researching and revising certain of the standards and procedures that guide the ongoing business of the NCCCLRA, as follows:
Constitution/Bylaws Committee, to re-examine the current constitution and bylaws and make any necessary revisions and/or additions—this committee will complement the work of the already established Procedures Committee that has been charged with the revision of the Procedures Manual/Handbook.
Membership Committee, to advocate for the organization so as to promote membership.
Public Relations Committee, to devise a means of creating a membership list such that all relevant NCCCLRA communications/voting issues might be sent out to the entire membership, rather than only to the college directors as is currently the practice.
Archives Committee, to examine existing NCCCLRA documents and determine the best method of storage/access provision for current and future archival materials.
District Guidelines Committee, to re-examine and promote those “rules” that are relevant to the individual districts (such as the fact of there being some LRA funds available for district meetings, of which most districts are likely unaware).
Planning Committee
Recognition
Leading off with a comment on the success of this year’s Planning Committee in realizing their goal of devising a conference program that incorporated a number of “fun” activities designed to increase opportunities for social networking, Michael handed out certificates of recognition to Myra Blue, NCCCLRA Executive Board Vice President/President Elect and Planning Committee Chair, as well as to the other members of the Planning Committee.
Calvin Craig was again recognized for winning this year’s Achievement Award, for his outstanding work on the conference Web site as well as his ongoing efforts to maintain the NCCCLRA site in a timely and highly professional manner, and for his commitment to ensuring reliable information access for the NCCCLRA membership and beyond.
Treasurer’s Report
Deborah Foster, NCCCLRA Executive Board Treasurer, gave the year-end report on current financial status. To date, the NCCCLRA accounts show balances as follows:
Shares Account: $28.09 (which will be drawn back down to the minimum required $25 balance)
Checking Account: $9203.80 (this reflects most of the conference intake, with a few more conference receipts/expenditures pending)
Scholarship Account: $43,169.36 (this account earned $148.76 in interest last month and is now to the point at which scholarship funds might be drawn from the interest alone)
Non-Scholarship Account: $5054.41
Awards
Libby Stone, current and continuing NCCCLRA Awards Committee Chair, reported that the 50/50 raffle tickets sold during the conference took in $67.70 for the Scholarship Fund.
Libby further reported that no one applied for this year’s scholarships and encouraged the membership to look at the scholarship information presented on the NCCCLRA Web site and to encourage potential recipients to apply. There is a one that may be used for professional development as well as work in a degree program.

Passing of the Gavel
To end his tenure as NCCCLRA President, Michael thanked his
staff for all their help throughout the year, and, to ensure that things run as
well for his successor, presented incoming president
Before accepting the gavel from Michael, however,
She went on to thank her colleagues and mentors for all their support throughout the years in helping her reach her current position, and recalled fond memories of early library experiences. She also thanked Dr. Bill Randall and the entire System Office for their ongoing support of our libraries’ efforts.
Her goal for the coming year is to continue her commitment to the promotion of service and sharing throughout the organization.

To launch the new committees earlier suggested by Michael, the membership was called upon to volunteer their services. Many meeting attendees did offer to serve; committee membership now stands as follows:

District Guidelines Committee: Roxanne suggested that we wait to see what existing guidelines we might unearth when examining the archival materials and it was agreed that we would do this.
Wrap-Up Items
Those who presented at the conference should e-mail their presentations to Calvin Craig, NCCCLRA Web Editor, for posting on the conference site. Calvin noted that anyone with relevant information to disseminate to the membership at any time should feel free to send it on to him for posting.
Conference attendees were reminded to submit their conference evaluations before leaving.
